• Contact & Event Details: When you submit an inquiry or contract, we collect your full name, email address, phone number, event date, venue location, delivery notes, and special requests.
• Rental & Payment Metadata: When paying deposits or balances, payment card processing is securely handled by our PCI-compliant payment partner (Stripe). We do not store full credit card numbers on our servers.
• Guest Audio & Video Recordings: During your celebration, guests record voice messages, voicemail greetings, HD video messages, or snap photos using our hardware stations.
• Technical & Cookie Data: IP address, device type, browser settings, and anonymized site interaction data collected via essential and analytics cookies.

4. How We Use Information

We use collected data solely for legitimate business purposes:

• To verify date availability, generate digital rental agreements, and schedule white-glove equipment delivery across the GTA.
• To format, master, and deliver your completed digital audio/video memories within 48 hours following your celebration.
• To communicate transactional updates via SMS and email (e.g. inquiry confirmation, delivery coordination).
• To prevent fraudulent reservations and comply with legal accounting obligations.

5. Data Retention & Security

Your digital event archives (MP3/WAV audio files and MP4 video clips) are maintained on encrypted AWS S3 storage for a guaranteed period of 90 days following your celebration date, giving you ample time to download and save your keepsakes across your personal devices. After 90 days, archives may be archived or deleted in accordance with our routine cleanup procedures.

We employ industry-standard encryption (TLS/HTTPS in transit, AES-256 at rest) and strict access controls to prevent unauthorized access.

6. Third-Party Service Providers

We partner with reputable enterprise services to operate our rental platform:

• AWS (Amazon Web Services): Secure cloud infrastructure and S3 media storage.
• Stripe: PCI-DSS Level 1 certified payment processing.
• Sent.dm & Resend: Transactional SMS and email communications.
• Supabase: Encrypted relational database storage for booking records.

7. Your Rights & Choices
